Job description
Our organisation based in Zimbabwe seeks a Senior Program Assistant to assist with implementation of its 12-month program in Zimbabwe. Reporting to the Senior Program Officer, the Senior Program Assistant will be responsible for financial, logistical and programmatic aspects of the program and will be based in Harare.
Position summary
Track political developments related to assigned programs and inform colleagues of related developments and their potential program impact; Support the work of the Senior Program Officer and other staff members to provide technical assistance to local partners; Draft quarterly and other reports for the country office; Track grant and project budgets and expenditures; Provide logistical support to workshops, events and conferences; With other team members, orient new staff members to the work and resources of the team; Assist with recruiting, training and supervising the work of interns/project assistants on the program.
Essential duties and responsibilities
Program Management Support: Provide program and administrative support to the program team in the preparation of various program documents, such as work plans, budgets, reports and proposals on program implementation arrangements; Under the guidance of the Senior Program Officer, assemble briefing materials and prepare power-point and other presentations for the program unit; Identify sources, and gather and compile data and information for the preparation of documents, guidelines, and other material as required; Assist the program team in reviewing and preparing documentation on the procurement of goods and services, Support contract tracking
Administrative Support to the Program Unit: Provide administrative support to the program team in the organization of events, meetings, trainings and workshops, etc; Make travel arrangements for the program team and project staff, including preparation of travel requisitions and claims; Draft non-substantive correspondence; Maintain and organize up-to-date hard and electronic files for easy access and retrieval and ensure safekeeping of confidential materials; Create and maintain files of correspondence/documents and electronically received information, and ensure up-to- date filing. Maintain both hardcopies and electronic copies of the office records and reference files on various subjects; Prepare presentation material/slides in power-point for presentations for the meetings/workshops and keep all papers ready for meetings
Education and experience required
Bachelor's degree or diploma, preferably in international relations, political science, or a related field; Demonstrated coursework and/or internships in international development, community organizing, organizational development, legislative affairs or related subject. Minimum of two (2) years' work experience preferred
Required skills and abilities
Demonstrated involvement, interest and/or study in elections and/or citizen participation in the electoral process; Demonstrated interest in and knowledge of international issues related to democratic processes; Exceptional verbal and written communication skills; experience as a trainer is a plus; Good interpersonal skills to effectively interact with all levels of staff and NGO community; Capacity to work both independently and as a member of a team; Ability to define problems, collect data, establish facts and draw valid conclusions; Excellent organizational and administrative abilities; Strong attention to detail; Ability to prioritize, meet deadlines and work with others to accomplish time-sensitive tasks; Working knowledge of Microsoft Office programs, especially Excel; Experience with Google Apps (Gmail, Calendar, Google Drive, G+, etc.) strongly desired; Working knowledge of basic budget and accounting procedures; Ability and willingness to travel nationally; Fluency in oral and written English; additional language (Shona and Ndebele) skills are a plus
